Archiving messages with a third-party provider in Zoom App
For an alternative message archiving platform, Zoom integrates with Global Relay and Smarsh to provide you with a streamlined experience. Using these providers, you are able to store the messages, files, and other information you send over Zoom chat. Messages and files can either be stored on the third-party provider or both the third-party provider and Zoom can be used for the storage of messages and files. As of right now, this integration does not support any in-meeting chat messages.
Upon configuring Zoom, the message and file attachments will be sent once a day to Global Relay or Smarsh once it has been configured. In order to use third party storage, you must enable third party storage for your Zoom account as a whole, and not just for individual groups or users.

Prerequisites for setting up message archiving with a third-party archiving service
- Global Relay: Global Relay representatives or Global Relay support will be able to provide you with the SMTP delivery address.
- Smarsh: A channel token that has been authorized by the channel
- Ownership or administrative privileges of the account are required
- You have to disable chat encryption (otherwise you won’t be able to read messages)
It is important to contact your third-party provider and find out what steps need to be taken for Zoom message archiving to be configured on their platform.
How to enable third-party message archiving
After you have enabled third party archiving for all of your accounts, you can enable it for individual IM groups by going back to the account level.
Account
- As a Zoom admin, you will be able to edit the account settings by logging in to the Zoom web portal.
- Click Account Management in the navigation menu and then click Account Settings in the Account Management section.
- The Zoom Chat tab will appear when you click on it.
Please be informed that, starting on June 1, 2022, our engineering team will begin the migration process and enable the New Admin Experience on all accounts that have not yet been migrated. There will be no downtime during the migration process, but it is possible that your account may be enabled in a different time frame than the day the New Admin Experience is enabled. When it is completed, your account owner will receive an email letting them know that it has been completed. In case your account hasn’t been enabled with the New Admin Experience yet, then please refer to the article about the old admin experience. - For Third party archiving to be enabled or disabled, you will need to click the toggle switch under Storage.
- You may be asked to verify the change by clicking Enable or Disable in the dialog box that appears.
- In the drop-down list, select your third party provider and then enter the configuration settings for your third party provider.
- Global Relay
- SMTP delivery address:Your Global Relay representative or a Global Relay customer service representative will be able to provide you with your SMTP delivery address.
- Username:The username you have been given by Global Relay must be entered here.
- Password: Passwords for Global Relay should be entered here.
- Smarsh
- Authorized Channel Token:
- If you have an Authorized Channel Token, please enter it here.
- Global Relay
- Click Save.
Groups
Note: The first step you need to take is to set up Third party archiving in your account’s IM Settings. You will be prompted to enable and configure the feature in IM Settings if you have not configured it at the account level. The option of archiving Zoom Chat messages with a third-party provider can be disabled at the account level later on, if only some groups need to do so.
- When you log in to the Zoom web portal, you are automatically assigned the privilege of editing Groups as an admin.
- Select User Management from the navigation menu, then click Groups from the drop-down menu.
- From the list of groups, click on the name of the group that applies to your situation.
- You will be able to access Zoom Chat by clicking the tab.
Important: The migration and enablement of the New Admin Experience will begin on June 1, 2022, when our engineering team will begin the process of migrating all accounts to the New Admin Experience. In the course of the migration process, there will not be any downtime, however the day that the New Admin Experience will be available for you to use will vary. As soon as the process is complete, an email will be sent to your account owner to let them know.
