How to import new users
Create a CSV file for users
- If you wish to apply multiple sets of user types and features at the same time, you will need to create separate CSV files. If you want to add two different sets of users, you need to create two different CSV files: Licensed users with the Webinar add on and Basic users without the add on.
- Account owners with a paid subscription or free trials will not have their data imported via batch importing. A handwritten invitation must be sent to them.
- Maximum records cannot exceed 99999.
- Sign in to the Zoom website.
- Click on User Management in the navigation bar and then click Users.
- After that, you will see a tab called Users.
- If you click Import on the right side of the page, you will see the imported users.
- If you wish to download a sample CSV file that you can fill out, you can click Download CSV Sample.
- A sample CSV file that is blank can also be downloaded for the purpose of importing users.
- Simply open the file with a spreadsheet program, such as Microsoft Excel.
- Then, enter the users’ information according to the CSV format.
All the information should be placed in separate columns. - At least the first three columns must be included. After importing users, you can change the information in the other columns.
- Email (required)
- First Name (required)
- Last Name (required)
- Department
- Manager
- User Group
- Job Title
- Location
- Prepare the spreadsheet as a comma-separated values (CSV) file.
Upload the CSV file to Zoom
- Access the Zoom web portal by signing in.
- Then, select User Management from the navigation menu and then Users from the drop-down list.
- Once you have selected Users, you will be taken to the Users page.
- There, you will see a link that says Import Users.
Note: - You may also be able to see other columns depending on what features are available with your account. When you click Import, you will be taken to a page that shows all the columns that can be defined in your account.
- Choose the type of user and the set of features that should apply to all users within the CSV file.
- Once the CSV file has been uploaded, click on it.
- After clicking the CSV file that you created, you will be able to open it.
From now, you will see your users listed under the Pending tab. Upon accepting the invitation, the user will receive an email activating their account, and they will appear in the user list.
How to update existing users
Using the CSV export feature, you can export a list of existing subscribers, edit the CSV, then upload it to the web portal as a batch update.
CSV files are formatted differently when imported and when updated through CSV files. Make sure you’re using a template suitable for CSV files.
Bulk update user type, licenses, and other information
- Sign into the Zoom web portal using your email address and password.
- Next, click on the User Management option from the navigation menu.
- Then click All users in the table on the right side of the page.
A CSV file with all existing users will be exported.
Note: - When this option is selected, all currently displayed users will be exported. Use the search box and filters to display only some users if you do not wish to export all users, then click Export to bring them up.
- It is possible to make sure that the exported CSV file matches the required format by editing the CSV file using a spreadsheet application such as Microsoft Excel.

- Once the file is uploaded, click on it to open it.
Note: - In order to update a user’s phone number, you must access their profile and manually update it.
Bulk update users’ emails
Zoom must enable this feature in order for it to work. Users can be updated by updating their email account login details or adding SSO login details. The bulk email address update permission in Role Management must be enabled if you wish to update users’ mail addresses in bulk. Click here for more information on role management.
- If you are an admin in the Zoom web portal with the permission to update email addresses in bulk, you should log in as an admin.
- Click on User Management, then click Users to open the User Management page.
- To export the users in the table, click the Export button on the right side of the page.
The users in the table will be exported as a CSV file. - The data that is currently displayed will be exported. You may only want to export some users, then click Export, if you do not want to export all users.
- Excel can be used to edit the CSV file so that it conforms to the CSV format required.
- If you wish to update users from a blank CSV file, you can download it here.
- To return to the Zoom Website, select Users from the drop-down menu.
- You can then click User Management from the navigation bar.
- Then click Import.
- On the Update Users tab, click the Update button.
- Choose the option to update the email address of the users from the drop-down menu written below the Select an action link.
- The verification code sent to your email needs to be entered before you can proceed if you do not have two-factor authentication.
- Select the CSV file to upload.
- When you have selected the CSV file to upload, you will need to click Open.
The request will then be processed. For information about why the users’ emails couldn’t be updated, click the View Detail link in the banner for details about why there were errors during the update process. A notification email will be sent to the user with instructions on how to approve the email change request once the change request has been processed.
Required CSV format
- Only the following columns should be in the CSV:
- I have added the data email address, first name, last name, phone number, department, manager, group user type, large meeting, webinar, Zoom Events, job title, and location. Before importing, make sure that any extra columns not within this list are removed, as well as any user profiles created by Zoom Rooms. The export of the list of users is particularly important if the user information will be uploaded using CSV.
Note: - Only one group can be assigned to each user using CSV.
- These are some valid examples:
- User Type: Free, Licensed, On-Premise
- Large Meeting: 100 people, 500 people, etc.
- Webinar: 500 people, 1000 people, etc.
- Zoom Events: A Zoom Event for 500, etc.
- Contains the external phone number of the user in their profile which is in the Phone Number field of their profile. In the Zoom Phone web portal, there is a Phone System Management section where you can assign phone numbers batch-wise through the direct and extension numbers.
- It is important that you put the phone number in the following format:
The label should include the following information: + [Country Code] [Phone Number]- You can add up to 3 numbers.
- Each phone number should be separated by a comma. For example:
Mobile: +1 8887999666, +1 8888999666- It is important that the phone number you send this email consists of the following (don’t use dashes or spaces):
- Plus sign (+)
- Country code
- Area code
- Phone number
- Depending on the spreadsheet software you are using, you might not be able to start a cell with a plus sign. In order to include the plus sign (+) in the CSV file, you will need to save the file and then open it in a text editor. You may or may not find the phone number in quotation marks when viewing the CSV file in a text editor (either format will import correctly). You will not need to create a formula when you enter the plus sign (‘+) in Microsoft Excel.
- It is important that the phone number you send this email consists of the following (don’t use dashes or spaces):
- Choosing a label can be as simple as Mobile, Home, Office, or Fax
- Each phone number can only have one label
- Leaving a field blank will not change the user’s experience. Zoom will not update or clear its values if you leave a blank entry. The user will not have the ability to create a new department or change their existing department if you leave a department blank and the user already has one.
