Creating a dial-by-name directory in Zoom App
By entering a first or last name, callers will be able to search a site’s phone directory for people who share the same first or last name. The caller is able to contact a specific phone user once he or she has done a search. Using an IVR system, you should be able to route calls to the dial-by-name directory via a dial-by-name directory. Dial-by-name directories are only compatible with British and American English dialects.

Prerequisites for creating a dial-by-name directory
- There are three types of accounts: Pro, Business, and Education
- The account owner has admin privileges on the account
- In order to use Zoom Phone, you need a license
- The dial-by-name directory can only be accessed by Zoom Phone users who have a Zoom Phone license
How to access dial-by-name directory settings at the site level
The dial-by-name directory can be created or edited at the site level if you have multiple sites, for example. As a result, an auto receptionist within the same site is the only way you can route to this directory.
- Log in to the Zoom web portal by entering your email address and password.
- Select Phone System Management from the navigation menu, and then select Company Info from the drop-down list.
- Click on the name of the site, then click on the Settings tab.
- The Other section can be found by scrolling down the page.
- In the Dial by Name Directory toggle, ensure it is enabled. Also, ensure that these drop-down menus are enabled:
- Create Directory: The dial-by-name directory can be created at the site level by selecting Maintain Site’s Own Directory from the list of options.
- Search by: Provide the option for callers to search for the first or last name of a phone user when they dial the number.
- To manage your directory, click on the Manage Directory button.
How to access dial-by-name directory settings at the account level
The dial-by-name directory can be created or edited at the account level if you do not have multiple sites. From any auto receptionist in your account, you will be able to route to this directory.
In addition to creating or editing an account-level directory, you can also follow these steps if you want to do so. Once you have created this directory, you will be able to apply it to specific websites.
- Log in to the Zoom web portal by entering your email address and password.
- To access the Company Info section, you need to click on the Phone System Management link in the navigation menu.
- At the top of the page, click Account Settings.
- The Others section can be found by scrolling down the page.
- To enable Dial by Name Directory, ensure that the toggle is turned on.
- You can specify whether callers can search for a person’s first or last name using the Search by drop-down menu on the Search by page.
- You can manage your directory by clicking on the Manage Directory link.
How to create or edit a dial-by-name directory
- There are settings available that allow users to dial-by-name through a site or account level dial-by-name directory.
- To configure the directory, you can use the following options:
- Click the Sites button under Included Sites in order to add sites to the directory. Choose a site from the search results and click on it. Users that register on the site who are new or existing are not included (unsearchable) in the directory by default.
- After adding a new site to your directory, you will need to click Add searchable users to include those with a phone number in the directory.
- Click the Excluded tab at the top of the table and select the users that you want to include in the directory if there have already been users included in the directory. When you are done, click the Move to Dial by name directory button at the top of the table and choose the users to include. It is also possible for you to move all excluded users to the Dial by Name directory by clicking the Move all to Dial by Name directory button.
- The first step in excluding phone users from the directory is to click on the Directory tab of the menu, choose the users that you wish to exclude from the directory, then at the top of the list click Exclude from the directory. If you want to remove all included users from the directory, you can click the Exclude from the directory button.
How to apply the account-level directory to a site
- Log on to the Zoom web portal by entering your username and password.
- Select Phone System Management from the navigation menu, then click Company Info from the drop-down menu.
- When you click the website name, you will be able to see a tab called Settings.
- Go to the Other section of the page and scroll down until you see it.
- It is important to ensure that the Dial by Name Directory toggle is turned on.
- To apply the dial-by-name directory you created at the account level to your dial-by-name directory, find the drop-down menu that says Inherit from account directory and select it.
How to route to a dial-by-name directory
By assigning the dial-by-name directory to an IVR system, you are able to send callers to it if you have enabled the dial-by-name directory.
- Log in to the Zoom web portal by entering your email address and password.
- Click on Phone System Management from the navigation menu, and then click on Auto Receptionists from the menu.
- You can choose from an IVR menu that’s available on an auto receptionist.
Note: It is imperative that you ensure the auto receptionist is located on the same site as where the dial-by-name directory has been enabled. - In the section titled IVR Menu, you will find a link that says Edit.
- You can select Dial by Name by clicking Edit next to a key.
