Using Workspace Reservation on the Zoom web portal

Users can reserve office workspaces through Workspace Reservations. On a Zoom Rooms for Touch device, the Virtual Receptionist Kiosk, or through the Zoom web portal, users can easily reserve desks or meeting spaces. You can check in using QR codes to Zoom device-enabled desks, view interactive maps, and see how occupied each desk is through Workspace Reservations.

Prerequisites for using Workspace Reservation

  • Using Zoom Rooms, your organization can enable workspace reservations
    Note:
  • To use the map and desk booking features, your admin must enable Workspace Reservation. Your account administrator can assist you.

How to manage web reservations on the Zoom web portal

Reserve a workspace

  1. Zoom’s web portal can be accessed by signing in.
  2. Navigate to the Workspaces section of the navigation panel.
  3. You can reserve a workspace in any building on any floor.
    Workspaces, rooms, and users can also be searched.
  4. You can select an available workspace by selecting a date and time.
  5. If you typically use a desk or are close to users in the same department, you can view recommended desks by clicking Desk Recommendation.
    Note:
  6. Your administrator must enable this feature.
  7. You can view and select an available time if the desk you want to book is busy.
  8. Reserve by clicking the button.
    You have now been assigned the workspace.

View upcoming reservations

Your upcoming reservations can be viewed, edited, or deleted.

Reservations upcoming can be viewed by clicking here:

  1. Log in to Zoom’s web portal.
  2. Click Workspaces from the navigation panel.
  3. Select My Reservations from the menu.
    Your upcoming reservations can be viewed under the My Reservations tab

How to check in to and out of a reservation

The Zoom web portal is used for checking in and out of workspaces with devices.

Check in to a reservation

  1. See what reservations you have coming up.
  2. To check in to your upcoming reservation, find and select it.
  3. Check in by clicking Check in.
  4. Click Check in in the pop-up window to confirm the check-in.
    (Optional) Check the box Don’t ask me again.
    Your check-in has been completed. You will be signed into the device at the desk if there is one.

Check out of a reservation

  1. See what reservations you have coming up.
  2. A reservation can be checked out by selecting it and finding it.
  3. Click the Check out button.
  4. To confirm your check out, click Check out in the pop-up window.
    Make sure Don’t ask me again is checked.
    Signing out will occur if there is a device at the desk.
