Limitations of the audio library
It is important that you take note of these limitations before you use the audio library:
- Audio files and recordings can be stored in your audio library for a maximum of 100 recordings.
- In order to view or use other admins’ or users’ audio libraries, you will be able to view and select only your own audio library, not those of any other user or admin.
- If the extension has already been configured with a custom audio file, then admins can play that file. Using a call queue’s settings, you can view the current greeting prompt that is playing when you view a call queue’s settings.
- Users’ custom audio files can be played, downloaded, renamed, and deleted by administrators at their discretion.

How to select from existing audio
You are able to select from your existing audio files in the audio library if you have previously recorded audio, uploaded audio, or converted text to speech and uploaded the files.
- Access the audio library.
- In your audio library, you will find an existing audio file that you can select.
- When you hover over an audio file, you will have the option of editing the file name, playing the file, downloading the file, or deleting it.
There are also other options, including the possibility of recording a custom audio file, converting text to speech, or uploading an audio file of your own.
How to convert text to speech
If you are looking for an easy and quick method to generate audio out of text, you can convert text to speech.
- The audio library can be accessed by clicking here.
- In the Add Audio window, click the Add Audio button.
- Click on the Text to Speech tab on the left side of the screen.
- Enter the following information:
- Audio Name: To make it easier for you to identify each audio file in your audio library, enter a display name to help you identify the files.
- Choose a dialect or language, as well as a male or female narrator, by using the drop-down menus.
- Message to play: In order to convert the text into speech, you will need to enter the text.
- Tip: Please make sure that you back up your text before you send it, because you will not be able to edit it later.
- The audio preview will appear at the bottom-left corner of the text box when you click on the Play button.
- The resulting audio file can be added to your audio library after you have finished converting the text to speech and clicked Add to finish the process.
How to record custom audio
Here are the steps you need to follow in order to record custom audio directly from the Zoom web portal. In order to record audio, you will need a microphone that is working.
Note: The ability to record custom audio is not available in Internet Explorer at the moment.
- Access the audio library.
- When you click the Add Audio button, you will be able to add audio to your project.
- In order to begin recording, click on the tab labeled Record by Computer and then click on the Record button.
Note: When you are asked if you would like Zoom to be able to use your microphone by your browser, please allow it to do so. - Following the instructions on the screen will allow you to test and adjust the volume of your microphone. When you have finished, click on Next to proceed to the next step.
- In order to record audio, you need to click the Record button.
- To stop the recording, click the red stop button at the bottom of the screen.
- Click one of these options (optional):
- Play icon : If you have recorded an audio file, you can play it back.
- Rerecord: Should you not be satisfied with the result of your recording, you can rerecord it.
- Download: As a WAV file, you can download the audio that has been recorded.
- Adding the recording to your audio library is as simple as clicking the Add button.
- If you would like to use the audio, click the Use the audio button.
A recording of the audio will be added to the audio library on your Zoom Phone so that it can be used in the future.
How to upload an audio file
Here are some steps to help you upload your audio recordings to Zoom’s web portal if you already have them recorded.
Tip: Here is how you can upload the audio file that you have previously recorded using the Zoom web portal and then re-use it if you have previously recorded and downloaded an audio file using the Zoom web portal.

- You will find the Upload tab on the left hand side of the screen.
- Select a supported audio file from the list of supported audio files and click Upload.
Note: Simply click on the ? button to find out more information. The icon for viewing the requirements for the audio file can be found by clicking the icon. You can still upload and play your audio file in the web portal if it does not meet the requirements, but you will not be able to hear it when someone is contacting you. - Then click on the Use the audio button.
As soon as you upload audio to Zoom Phone, it will be added to your audio library for future use.
