It is possible for administrators to view the phone users who have access to the following features via Zoom Phone access reports:
- Inboxes for shared voicemails
- Call recordings that can be shared
- The ability to delegate calls (shared line appearance)
- In addition to voice messages and call recordings from call queues, automated receptionists, and shared line groups, (phone users who were given the privilege of working on these extensions by their role manager) are also available for download.
The list of phone users that have access can be viewed either in summary form or as a list of specific phone users. This report can also be subscribed to so that you are notified by email when it is updated.
Prerequisites for viewing access reports for voicemails, call recordings, and call delegation
- An account for business, or an account for education
- Ownership or administration privileges of an account
- In the case of Zoom Phone licenses, the functionality of Zoom Phone Pro is included in the license
- There is an add-on for Zoom Phone Power Pack available for purchase
How to view access reports
- To access the Zoom web portal, you will need to sign in.
- Click on Analytics & Reports from the navigation menu at the top of the page.
- Access Reports can be accessed by clicking on the link.
- If you would like to filter the data, you can do so by using the drop-down menus at the top:
- Can Access: You can view the list of phone users that can access a specific extension type by selecting the type of extension.
- Note: The only users who have the ability to delegate calls are displayed when the Users option is selected.
- Access type (middle drop-down menu): By selecting the access type, you will be able to see a list of phone users who have access to that type of access.
- Site: It is possible to view data for only a specific site by selecting it using the drop-down menu at the top of the screen.
