Batch importing or exporting phones and devices in Zoom

This post was most recently updated on July 23rd, 2022

In order to provision unassigned devices to the Zoom portal, account owners and administrators are able to import a pre-populated CSV file as part of the provisioning process by importing a pre-populated CSV file. In addition to bulk assigning phones to users, you can also assign phones one by one.

A CSV file containing a list of all assigned or unassigned phone/devices which is available for you to use as a reference for your own records is also available for export.

  • Account type: Pro, Business, or Education
  • Permissions to own or manage an account
  • License for Zoom Phone
  • Devices that are certified

How to batch add unassigned phones or devices

Using a CSV file, you can add a number of devices at the same time. It will be necessary to provision the additional devices as soon as they are added.

  1. Sign up for an account on Zoom’s website.
  2. Select Phone System Management from the navigation menu, and then select Phones & Devices from the navigation menu.
  3. In the Unassigned section, click the tab that says “Unassigned.”.
  4. The Import button can be found at the top of the page.
  5. If you have more than one site, select the target site you would like the users to belong to if you have more than one.
  6. Here is a sample CSV file that you can download. If you would like to view the required fields in a sample CSV file, you can download a sample CSV file.
Note: For a list of manufacturers and models that are supported, click on the Supported Manufacturers and Models button. To import the CSV file correctly, you need to fill in the Manufacturer and Model columns using the information provided in this list.
  7. To download the file, click the Download button.
  8. It is recommended that you use spreadsheet software such as Microsoft Excel in order to complete the fields in the CSV sample.

    • In order to avoid deleting the first row containing the field names, do not delete the first row. The manufacturers should be filled out correctly and the models should be filled out correctly as well.
    • Please leave the Site Code column blank if you have multiple sites, but haven’t enabled site codes because you don’t have many sites yet. After you have selected the target site, the phone will be imported to that site.
  9. To begin the batch process, you need to click on Upload CSV and select your completed CSV file from your computer.
Note: There is a possibility that the batch process will fail if one or more fields have an error in them. There will be a number of options available to you:
    • If one of the fields was not filled in correctly, you can view a description of it by clicking Details.
    • You can continue the batch process by clicking Ignore Issues and Upload Others if applicable. The CSV file will not be imported if any rows have errors in them. If there are errors in all rows, you will not be able to see this option.
    • This batch process will not be able to complete if all rows in the CSV file have errors in them. After you have fixed the CSV file, click on Reupload to upload it again.
    • To cancel the process of batch importation, click on the Close button.
  10. Upon successful completion of the batch process, click the Close button.
  11. Provide your desk phone, paging/intercom device, or other devices with the provisioning process.
