Zoom’s new grads hit the ground running with enhanced orientation experience
GET (Global Emerging Talent) is Zoom’s global program that promotes diversity in the workplace and aims to attract and develop the best and brightest minds to Zoom through internships and new graduate placement initiatives. As part of GET new graduate induction, each year we hold networking and orientation events for our new graduates, invite our executive leadership, including Zoom CEO and founder Eric Yuan, to speak on topics related to our newest graduates, and invite them to participate in training sessions.
Nicole Perzigian, Head of the Zoomies GET program, leads the week-long induction, which includes technical and professional development sessions, networking activities, mentorship, and social events to aid our new Zoomies as they adjust to full-time work and transition to life as a Zoomie. Nicole’s team jumped at the chance to utilize Zoom’s new virtual event management tool, Zoom Events, when given the opportunity to use it as they prepared to waiting room , the screen will change to the following screen. Zoom Events simplifies virtual event management
A digital calendar is the primary tool used by the Global Emerging Talent team to plan and organize training and social events prior to the Global Emerging Talent event, as well as distribute invites to the meeting and manage the calendars of the participants. In previous years, Zoom Meetings and Zoom Webinars were used for the trainings and social events. There were no shortage of manual and time-consuming aspects to this process as it generated hundreds of disruptive calendar alerts that impacted our daily lives. As a part of the team’s efforts to streamline administrative tasks, the team also aimed to strengthen the sense of community among the graduates in order to reflect Zoom’s internal culture of caring beyond just streamlining administrative tasks.
Daniela Rendon, GET’s program manager for Onboarding, created the onboarding program in Zoom Events, instead of manually creating multiple websites, sending hundreds of calendar invitations, and communicating via email. This eliminated many of the manual tasks and consolidated the information in one place while eliminating many manual steps. As a result of her use of Zoom Events, Daniela has been able to:
-
Create a landing page for graduates where they can find all the details about the event and register online for it
-
There are various criteria that can be used to tag event sessions
-
All speakers and participants should be notified at the same time
-
Provide tickets for sessions that are specifically designed for those based in India or the U.S.
-
On the listing for each event, you should organize and display the speaker biographies
-
You should design education tracks according to the role or duties of the participant
-
Organize networking events and social gatherings for your clients and friends
There was an estimated saving of over forty hours in back-end administrative tasks, allowing Daniela and her team to focus on giving graduates new opportunities to build relationships with one another as well as new opportunities to expand their networks.
I no longer had to go to the trouble of creating individual calendar invitations for each person and coordinating everything individually by going back and forth, said Daniela after using Zoom Events. It was possible for us to increase our productivity by removing data entry tasks from our team due to the self-registration feature, thus enabling us to focus on the event itself, as a result of the self-registration feature.
The Zoom Events lobby chat was a great way to get to know the other participants, to discuss any challenges or questions they may have, and to get to know each other better. Rather than having to answer all of the questions on her own, Daniela noticed that her colleagues began using Zoom Team Chat heavily to help one another, and she began to see an organic shift towards better networking and camaraderie. In addition to facilitating and encouraging conversation, Zoom Events also provided graduates with an immersive experience that provided them with the necessary tools to navigate the week ahead effectively and effortlessly.
There was an opportunity for new graduates to enter the lobby, choose which sessions were most interesting to them, and bookmark them so they could easily access them later. Daniela added users”>that the users have the ability to visually see their itinerary and any pertinent information so that they do not have to constantly check a calendar.
Having wrapped up the week with Zoom Events analytics and reporting tools, Daniela used them to gain an insight into the success of her program. Data included the number of registrants and attendees, the number of sessions that were bookmarked, and the number of chat conversations that took place within each session.
I believe this is the most engaged group of speakers and graduates that we have ever had because of the intuitiveness of Zoom Events’ platform. There were more than 200 comments recorded in just one session, which means that we were actually able to see how engaged the participants were,” said Daniela.
Zoom’s products have completely changed the approach and gameplay of the Global Emerging Talent team since they incorporated the platform’s tools to connect, network, and onboard new grads by utilizing Zoom’s products. Zoom’s CEO Eric S. Yuan leveraged Zoom Team Chat, a text-based communication tool, in order to continue to engage with GET graduates and engage in additional conversations and collaboration.
Building better communities today and tomorrow
During our conversation with Nicole Perzigian about her plans for the program in the future, it was shared with me that she plans on utilizing Zoom Events again as a means of induction for new graduates at the beginning of next year. Nicole plans on using Zoom Events as a tool to run her upcoming recruitment initiatives, internship programs, or apprenticeship programs in a more efficient manner in order to run the events more efficiently.
Having the ability to build a community and connect across teams using Zoom Team Chat and Zoom Events has changed the way we are able to seek and recruit talented people within this program and has changed our way of recruiting all across the organization,” she said. As a result of this pilot, we are delighted to be able to offer even more innovative, cutting-edge ways in which to develop the future leaders of Zoom.” Nicole concluded.
