Managing the asset library in Zoom App

Content can be added to the asset library by contact center administrators. Using the Zoom Contact Center asset library, you can upload images, videos, and audio files for use in other features of the Zoom Contact Center interface. You can, for example, upload a greeting that you would like to play, and assign it a Send Media widget in order to be able to play it before routing it to your voice mail box.

Prerequisites for managing the asset library

  • Ownership or administrative privileges of the account
  • Accounts that are either Pro, Business, or Education accounts
  • In order to use Zoom Contact Center, you must have the following licenses:

How to view the asset library

  1. Log into the Zoom web portal by entering your user name and password.
  2. You can access the Asset Library by clicking Contact Center Management from the navigation menu.

How to add or edit text-to-speech audio

By entering text that is to be converted into audio, you will be able to add or text audio.

  1. Sign in to the Zoom web portal by entering your email address and password.
  2. Click Contact Center Management and then Asset Library from the navigation menu on the left side of the screen.
  3. Once you have clicked on Add, you will be able to hear the audio. Whenever you are editing an existing voice-to-text asset, you will need to locate the asset and click the ellipse (…) in the last column. Then click Edit Asset.
  4. The text to speech tab will appear once you click on it.
  5. Let me know what you would like to do:
    • Asset Name: Make sure that you give the audio file a display name so that it can be identified.
    • Description: You will need to enter a description for the audio asset as an internal description.
    • Select a voice: In order to use text-to-speech software, you will need to select a language and a voice.
    • Message to play: You can convert text into speech by entering the text below.
  6. To add or save a new item, click on the Add or Save button.

How to add or edit an audio file

If you have a file on your computer that is already an audio file, you can upload it.

  1. The Zoom web portal can be accessed by signing in to the account.
  2. Select Contact Center Management from the menu on the left and then Asset Library from the menu on the right.
  3. Click on the Add button, and then select Audio from the list. The process of editing an existing asset can be completed by finding the audio asset you want to edit, clicking the ellipses (…) icon in the last column, and then clicking on Edit Asset.
  4. To upload files, click the Upload tab on the toolbar.
  5. Please provide the following information:
    • Asset Name:
    •  The audio file should be named in a way that makes it easy to identify.
    • Description:
    • Describe the audio asset internally by entering a brief description in the field provided.
  6. If you click the Upload Audio File(s) button, you will be able to specify the following information in the section following:
      • File Name: Give the file a display name by entering a display name in the box provided.
      • Language: Please select the language in which the file should be rendered
      • Audio Files: Once you have clicked on the Upload Audio File button, you will be able to select the audio file you want I Note: if you are editing an existing audio asset, you have the option to upload a new one by clicking Reupload.
  7. Adding additional files for different languages can be done in the same audio asset by following the same steps as described in step 6.
  8. Then you will be able to add or save your changes.

How to add or edit an audio file recorded from your web browser

If you would like to record audio on your computer and add it to the asset library, you can use the microphone on your computer.

  1. Log in to the Zoom web portal by entering your user name and password.
  2. Using the navigation menu at the top of the screen, click Contact Center Management, followed by Asset Library.
  3. Click on the Add button, then click on the Audio option. To edit an existing asset, you need to navigate to the last column of your asset list, find the computer-recorded audio asset, look for the ellipses icon (…), then click Edit Asset next to it.
  4. To record by computer, you will need to click the tab that says Record by computer.
    Note: As soon as the request for the recording of audio is made by your browser, you will be asked to accept/allow it to proceed.
  5. The following information needs to be specified:
    • Asset Name: Give the audio file a name that will be displayed when the file is played.
    • Description: Describe the audio asset internally by entering a description in the field provided.
  6. Recording audio can be done by clicking the Record audio button. For controlling the recording, you can use the following options:
    • In order to start recording audio, click on the red record icon at the bottom of the screen.
    • The recording can be paused by clicking the pause icon at the bottom of the screen.
    • To stop and save the recording, click the stop icon at the bottom of the screen.
  7. After you have recorded your audio, you can choose one of the following options (optional):
      • The play icon can be found on the following page:
      • You can listen to the audio recording that you have recorded.
      • The recording will need to be re-recorded again
      • You can rerecord the recording if you aren’t satisfied with the outcome.
  8. Once you have added or saved the file, you will be able to close it.

How to add or edit an image

  1. Log in to the Zoom web portal by entering your email address and password.
  2. Select Contact Center Management from the navigation menu and then Asset Library from the drop-down menu.
  3. Click the Add button and then click on the Image button. You can edit an asset that has already been created by clicking the ellipses (…) in the last column, then click the Edit Asset button.
  4. In the following fields, please provide the following information:
    • Description: A description of the image asset should be entered in the internal description field.
    • Upload image: Click on Upload and select the image you want to upload if you are adding a new image.
      • The image can be changed by clicking Reupload if you are editing an existing image.
        Note: In the web portal, the file name will be displayed as the asset name, therefore it is recommended that you change it to make it easier to identify.
  5. You can add or save the file by clicking on the Add or Save button.

How to add or edit a video

  1. The Zoom web portal can be accessed by logging into your Zoom account.
  2. Select Contact Center Management from the navigation menu and then select Asset Library from the drop-down menu.
  3. After clicking Add, you will be able to see a video. You can edit an existing asset by selecting it in the last column, clicking the ellipses (…) icon, and then clicking on the Edit Asset button.
  4. If you would like to specify the following information, please do so:
    • Description: Describe the video asset internally by entering a description in the field provided.
    • Upload image: Click on Upload, then choose the video you wish to add if you are adding a new image.
      • You can change the video in an existing image by clicking Reupload if you are editing an existing image.
        Note: This file name will be used in the web portal to display the video asset if you need to change it in order to make it easier to identify the video asset.
  5. To add or save a new entry, click on the Add or Save button.

How to add or edit a script

  1. Sign in to the Zoom web portal by entering your email address and password.
  2. Select Contact Center Management from the navigation menu, then select Asset Library from the drop-down menu.
  3. To add a script, click the Add button and then click Script. A script asset can be edited by locating the asset and clicking the ellipses icon (…) at the bottom of the last column, followed by clicking Edit Asset.
  4. I would like you to provide me with the following information:
    • Description: The script should have a description that is internal to it.
    • You can upload your image by using the following instructions:You can add a new image by clicking Upload and selecting the script if you are adding a new image.
      • The script can be changed by clicking Reupload if you are editing an existing image.
      • Note: The file name is used as the display name for the video asset in the web portal, therefore it is important to change the file name if required so that the asset can be identified more easily.
  5. To add or save an item, click on the Add or Save button.

How to delete assets

  1. Access Zoom’s web portal by logging in to your account.
  2. Click on Contact Center Management and then Asset Library in the navigation menu at the top of the page.
  3. The following methods can be used to delete a file:
    • Select the check boxes at the top of the table to select assets and then click the Delete button at the top of the table to delete all selected assets at once.
    • It is possible to delete a single asset by clicking on the ellipsis icon (…) in the last column, followed by clicking Delete Asset.
