Customizing the Send Media widget in Zoom App

The Send Media widget can be added and edited by contact center administrators. You have the option of routing custom audio or image files through the Send Media widget. You can also add videos to video flows in order to make them more interactive.

Prerequisites for customizing the Send Media widget

How to add and edit the Send Media widget

  1. Using Zoom’s web portal, you can log in to your account.
  2. Click on Contact Center Management and then click on Flows in the navigation menu.
  3. It is possible to edit a flow’s display name by clicking on the name of the flow.
  4. Click and drag the Send Media widget in the left-side widgets panel into the position in the flow that you prefer.
  5. Choose the Send Media widget from the list of widgets.
  6. It is possible to rename the widget by clicking on Rename if you want to change its display name.
  7. Choose a type of media from the drop-down menu next to the Media Type in the Settings tab.
  8. You can customize the settings for the exits and the settings associated with them.
  9. Adding additional media files can be done by clicking on the plus icon (optional). Consumers will be able to view additional media files sequentially as they are added.

Audio: The audio file can be played or it can be converted to speech.

 

Please note that this feature is only available for voice channels.

Audio 1, Audio 2, …: To edit the associated audio, click on the numbered icon and then go to the settings to change these settings.

  • Text To Speech: This will allow you to type in the text that will be read out loud to the caller in the Message to play text box.
  • Upload Audio: The first thing you need to do is click on Upload to upload an audio file that will be played.
  • Asset Library: Using the asset library, you can choose an audio file that already exists in the asset library.
Next: Pick a widget that will be the destination of the audio files when they are finished playing.
Text: In addition to the text, you will also be able to see images.

 

(Only available for chat or SMS channel)

If you would like to edit the associated set of text, simply click the numbered icon associated with that text set. The text box is where you can enter the text that you wish to enter. The text box also allows you to paste images into it. Next: You will be able to select the widget which will be the destination of the text and images once they are displayed.
Text & Image: Display text and images.

 

(Only available for video channel)

Using the numbered icons, you can edit the text associated with each of the associated sets of text, such as Text 1, Text 2, … There is a text box where you can enter text. It is also possible to paste images into the text box in addition to text.In order to enable or disable an image, you need to click the toggle next to it. In order to display an image, you will need to click on Upload to upload it. As an alternative, you may select an existing audio file from the asset library by selecting the drop-down menu on the right side of the screen.

During the display of the text and images, you will be able to enable or disable audio that will be played while the images and text are displayed. In the drop-down menu, you have the option of selecting one of these options.

  • Upload Audio: You are able to upload an audio file to be played by clicking the Upload Audio button.
  • Asset Library: From the asset library, you can select an audio file that already exists in your audio library.

During the playback of the audio above, consumers are able to click the Skip button, which is only visible if Audio is enabled. The consumer will be unable to click Skip while the audio is playing if the feature is disabled. In spite of this setting, after the audio is finished playing, consumers can click the Skip button after the audio is complete to skip all slides and be routed based on the destination widget that was specified.

Next: Make a choice about where the text/images should be displayed when they are displayed.
Video: Display videos.

 

(Only available for video channel)

If you want to edit the associated video, click on the numbered icon associated with that video (Video 1, Video 2, …) Alternatively, you can upload a video to be displayed by clicking on Upload Video. As an alternative, you can select a video file from the asset library from the drop-down menu by clicking the drop-down box.

While the video above is playing, consumers can click Skip to stop it at any time by clicking the Skip button. A consumer cannot click Skip while a video is playing if this feature is disabled.

Next: You will have to select the destination widget once the videos have been displayed.
Slide: This is a slide that displays PDF files.

 

Please note that this feature is only available for video channels.

Using the numbered icons, you are able to edit the text that corresponds to each slide on the screen. You can upload a video to be displayed by clicking Upload Slides in order to upload a video. If you want to choose an existing PDF file from the asset library, you can use the drop-down menu to select it from the library.

Toggling the audio to play during the display of the PDF files is accomplished by clicking the toggle button. Please select from the drop-down menu one of these options in order to proceed.

  • Upload Audio: To upload an audio file to be played, click on Upload Audio and then select the song to be played.
  • Asset Library: Using the asset library, you are able to select an audio file that already exists in the library.

Allow interrupt (only visible if Audio is enabled): Allow consumers to click Skip while the audio above is playing. If disabled, consumers will not be able to click Skip while audio is playing. Regardless of this setting, consumers can click Skip after the audio is done playing to skip all slides and be routed based on the specified destination widget.

Next: After the PDF files are displayed, you will need to select the destination widget once they are displayed.

Frequently Asked Questions

 

There is no way to remove the widget from a flow as it is automatically added by default.
 
Using the arrow next to Start/Stop Video, select the option to start/stop the video. Click on the Video Settings tab. By clicking on this, you will be able to change your camera settings in your video settings.

What is the process for adding or editing the Script widget?
  1. By logging into your Zoom account, you will be able to access the Zoom web portal.
  2. From the navigation menu, select Contact Center Management, and from the drop-down menu, you will find a drop-down menu called Flows.
  3. The display name of a flow can be edited by clicking on it.
  4. Click and drag the Script widget to the preferred position in the flow flow panel from the left-side widgets panel.
  5. In the list of widgets on the left side of the screen, select the Script widget.
In order to be able to proceed, you will need to sign in to the Zoom desktop client that is available on your computer. Click on the profile picture, then click the Settings button, and then you will be able to make changes to your profile. To access the advanced options, click the Advanced button.

  1. Please make sure you are logged in as an administrator with the ability to edit the settings for your Zoom account in the Zoom web portal.
  2. Click on Account Management from the navigation panel and then click on Account Settings from the Account Management menu.
  3. On the left hand side of the screen, click on the Meeting tab.
  4. Click on the Add Custom Filters button to add the filters that you wish to add to the In Meeting (Advanced) setting after you have located the video filters setting.
