Importing keys and positions using a CSV file in Zoom

A Zoom Phone user or administrator can import a CSV file to specify the line keys and positions of desk phones that are supported by Zoom Phone. It is possible to create a CSV template for key positions and keys, then import it into several phones used by the same user or several phones in the same area, so that the person does not have to manually set the keys and positions for each phone. Also, users of desk phones have the option of importing a CSV file to specify the keys and positions of the phone on their desks.

Available key types for CSV import

An individual user can import keys and positions only for one user, which allows the following key types to be specified:

  • Line
  • BLF
  • Speed Dial
  • Zoom Meeting
  • BLF Monitoring
  • Call Park
  • Group Call Pickup
  • Intercom

During the import of keys and positions for multiple users, the following key types can be specified:

  • BLF
  • Speed Dial
  • Call Park

How to access line key settings

Admin

It is possible to access line key settings for desk phones or phones in common areas when you are a Zoom Phone administrator.

  1. Log in to the Zoom web portal by entering your Zoom username and password.
  2. The navigation menu on the left will allow you to select Phone System Management followed by Users & Rooms.
  3. Select the Users tab or the Common Area Phones tab from the menu.
  4. If you would like to change the user name or the common area phone, click the name of the user.
  5. To access the User Settings or the Settings tab, click the User Settings icon.
  6. You can view or edit the keys & positions by clicking on View or Edit in the Keys & Positions section.

User

Your desk phone can be programmed with line key settings which you can access as a phone user.

  1. Log in to the Zoom web portal by entering your Zoom username and password.
  2. Select Phone from the list of options.
  3. Select the Settings tab on the left side of the screen.
  4. View or Edit Keys & Positions can be found in the Keys & Positions section.

How to import line keys and positions for a single user

  1. It is possible for an administrator or user to access the line key settings.
  2. Please click Export (Optional) if you would like to export a CSV file containing the SSO key and the position that is currently provisionedObserve the following:
  3. The CSV file can be edited and then imported, so that the key and positions can be edited; or it can be used as a guide for formatting the CSV file. Whenever you change a key in the CSV file, don’t change the row where the key is located if you don’t want to change it.
  4. Click on Import to download a sample CSV file for example, or to import keys and positions from a CSV file that you already have.
  5. Download a sample CSV file that contains a list of example fields and attributes, along with an explanation of what fields and attributes are acceptable. Here is a description of the fields that can be used for setting the line keys.
  6. You can use spreadsheet software like Microsoft Excel to fill out the fields contained in a CSV or sample CSV file that you have exported or downloaded.
  7. Click on the Upload CSV option in the Zoom web portal when you are back on the Zoom web portal.
  8. The CSV file that needs to be imported must be selected from the list.
    In the event that an error is encountered, all rules will be checked and any errors will be displayed.
  9. Click the Close button once the CSV file is successfully imported.
    It will be necessary to update the keys and positions table within the web portal in order for it to be accurate. Any keys and positions that the user has assigned to themselves will be overwritten by these new keys and positions.

How to import line keys and positions for multiple users

  1. If you are an admin, you can access settings related to line keys.
  2. You can access the Phone System Management by choosing the User & Rooms link from the navigation menu.
  3. You can import your files by clicking the Import button.
  4. In the Keys & Positions section, click the Keys & Positions button.

    A rule-checking process will be conducted and if any errors are encountered, they will be displayed as error messages.
  9. Click on the Close button when the CSV file has been successfully imported.
    In the web portal, there will be an update to the keys and positions table. The keys and positions added or appended to any existing keys and positions for those users will be incorporated into/appended to the new ones.
