Management of automatic reception in Zoom Phone

Auto-receipt answers the call with a personalized recording and is forwarded to the phone user , call queue , common area phone , or voicemail. Set up automatic reception to be forwarded to the IVR (Interactive Voice Response) system , allowing callers to select forwarding options.

After creating the automatic reception, you can change the settings of each automatic reception .

Prerequisites

  • Professional, business, or educational account
  • Account owner or administrator privileges
  • Zoom Phone License

Customize the main automatic reception

Once the Zoom Phone initial setup is complete, an auto-reception ( main auto-reception ) will be created and assigned to your company’s primary number . All incoming calls to the company’s representative number will be answered at the main automatic reception.

Note : If you have multiple sites , Zoom Phone will automatically create a main auto-reception for each site. Incoming calls to your company’s primary number will be answered at the main auto-reception on the main site (the first site you create after enabling multiple sites).

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][Auto Attendant] and then click the.
  3. Click on the auto-reception that says Main Auto-Receptionafter your name .
  4. Change the automatic reception settingsas needed.

Change the company representative number at the main automatic reception

If you have a main automatic reception with multiple direct numbers, you can change the phone number used as the company’s representative number .

You can also reassign phone numbers from other phone users, call queues, automatic reception, common area phones, and Zoom Room .

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][Auto Attendant] and then click the.
  3. Click on the auto-reception that says Main Auto-Receptionafter your name .Note : If you have multiple sites, each site has its own main automatic reception. However, the company representative number belongs only to the main automatic reception on the main site. You can find the main site on the Company Information
  4. Click the numberdrop-down menu to change your company’s representative number. Select one of the following:
    • Select from the numbers assigned to the main automatic reception. The former company representative number remains assigned to the main auto-reception.
    • Select the number of unassigned]Click to unassigned numbers to select a number from the list of, [confirmed] and click.
      Note : The representative number of the previous company will be unassigned. You can also reassign the number of the previous company representative number .

Create a new automatic reception

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][Auto Attendant] and then click the.
  3. Click Add.
  4. Enter the following information:
    • Sites( displayed only if there are multiple sites ): Select a new auto-reception site.
    • Name: Enter a name that identifies the automatic reception.
  5. Click Save.
  6. Change the automatic reception settingsas needed.

Delete or duplicate automatic reception

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][Auto Attendant] and then click the.
  3. Click the three-point reader ( ) icon in the right column and click one of the following options:
    • Duplicate: Set a new automatic reception by duplicating the automatic reception. All settings except extension, phone number, and display name are copied from the original settings.
    • DeleteDeletes the automatic reception. The phone number assigned to the automatic reception will be canceled.

Zoom’s mobile app is available on both Apple and Android devices. In the Contacts section, tap on the contact you wish to edit. After you’ve tapped Contacts, you’re going to want to tap Phone Contacts Matching, and after that you’ll want to tap Contacts again. Using Zoom Phone, you can call the contact by tapping the name of the contact, then tapping the Phone Call button.
