How to enable sound notifications for Zoom meetings

It is possible to enable Sound Notifications if you are planning on having video on when you host a scheduled meeting. It plays sound when someone joins or leaves a meeting. In the case that a sound notification is not enabled, there will not be a sound played when someone enters or leaves the meeting.

The prerequisites for enabling sound notifications for meetings are as follows:

  • An account with a free tier or higher is required

How to enable sound notifications

Account

  1. Log in to the Zoom web portal using your email address and password.
  2. Select Account Management and then Account Settings from the navigation panel.
  3. From the navigation panel, select Meetings.
  4. To receive notifications when someone joins or leaves the system, click the toggle to turn on the notification panel. When the notification panel pops up, click Enable.
  5. Choose the option for whom you would like to play a sound:
    • Everyone: As soon as the chime sounds, the host and all participants are able to hear it.
      • Note: Regardless of the audio device (computer or telephone audio) the host and all participants will hear a chime, as well as a recording of the conversation.
    • Host and co-hosts: Only the host or co-hosts are able to hear the chime sound when the meeting is in session.
      • Note: Using the telephone audio feature on the host’s end will only enable him or her to hear the telephone recordings. The host will instead hear a chime if they are using computer audio, rather than music.
  6. Optionally, you can also ask telephone participants to record their name to be used as the notification:
    • Telephone participants can record their name for use in the notification: If there is a telephone recording, the host and participants will be able to hear it depending on the setting.
  7. Click on the Save button to save your settings.
  8. If you wish to make this setting mandatory for all members of the account, click the lock icon on the Manage Account page, and then in the Lock “Sound notification when someone joins or leaves” window, click Lock.

Group

  1. Log in to the Zoom web portal by using your email and password.
  2. Then, choose the appropriate option under the Users heading, then select Groups in the navigation.
  3. Then, choose your desired group.
  4. Then, click the Meeting button.
  5. When selected, click the toggle switch to enable the sound to notify you when a new member joins or leaves the meeting. Click Enable when the pop-up window appears.
  6. Choose one of the following options in Play sound for:
    • Everyone: In addition to the host, all other participants can also hear the sound of the chime.
      • Note:
      • Regardless of the type of audio device used (computer or telephone audio), the host and participants will be able to hear a chime and telephone recording.
    • Host and co-hosts: Only the moderator or co-moderators of the meeting will be able to hear the chime sound.
      • During the call, the host will only be able to hear the recording if they are also using the phone audio. It is possible, however, that the host will hear a chime rather than a voice if he or she is using computer audio.
    • Select Ask to record the participants’ voice during the telephone call to be used as the notification: Participants can record their name when joining by telephone. Depending on the settings above, the recording of this telephone call will be listened to by the host and participants:
    • Click Save.
  7. You can force this setting to be mandatory for all members of the entire group by clicking the lock icon, selecting Lock from the Lock “Sound notification when someone joins or leaves” menu, and clicking Lock Again.

User

  1. You will need to sign in to your Zoom account.
  2. Navigate to the Settings link on the left-hand side of the screen.
  3. From the drop-down menu, select Meetings.
  4. Click the toggle next to Remind me to sound when people join or leave a meeting to enable sound reminders.
  5. You can choose from the following options when choosing the sound trigger:
    • Everyone: Meeting participants are able to hear the chime sound as they are seated in the room.
      • Note:
      • Regardless of the audio device they use (computer or telephone), participants and the host will hear a chime as well as a telephone recording.
    • Host and co-hosts: Only the hosts or co-hosts of the meeting can hear the chimes that are sounded during each meeting.
      • Note:
      • When the host also uses telephone audio, the call recording will also be audible to them. There will also be a chime sound as opposed to the host’s voice if the computer audio is being used.
    • To use the recording of their voice as a notification when someone joins by phone, select Ask to record their name in the notification when someone joins by phone: Participants that join by phone can record their names. Depending on the settings that are set above, a recording of this telephone conversation will be played back to the host and participants:
    • Click Save.
Note : 

  • You can contact your account administrator to find out why you are not receiving sound notifications when someone joins or leaves your account.

In the meeting room, you will have full access to your audio settings and you will also be able to test the sound while you are already in a meeting. In the meeting controls, you will find an arrow beside Mute/Unmute on the left side of the speaker to enable or disable the sound of the speaker on a video call. You can open your audio settings by clicking on Audio Options, which will open the audio options window. It is important to follow the steps below if you want to test the speaker or microphone on your computer.
 

Identifying the problem with the microphone and troubleshooting it

The microphone should not be on mute and should not be muted. It is possible that the host of the meeting may have muted you as you entered the meeting so if the muted Audio icon appears in the meeting controls, you might not be required to unmute yourself. If this is the case, tap the muted Audio icon to unmute yourself. If you want to be unmuted, ask the host in chat to unmute you.

 
Use the Windows search box to find Microphone privacy settings if you are using Windows 10 and you are unable to access the microphone. Zoom must have access to your microphone, so the toggle should be enabled.
 
Here is what you need to do in order to enable up coming meeting reminders for yourself:
  1. Zoom’s web portal can be accessed by signing into your account.
  2. You can access the settings panel by clicking the Settings icon in the navigation panel.
  3. The Meetings tab will appear once you click on it.

Voices may be garbled or speech may be delayed if your internet connection isn’t strong. You can avoid this problem by closing as many tabs and programs as possible when you’re on a call. Wireless connections are less stable than those made via an ethernet jack.
