Managing OnZoom recordings for Hosts

OnZoom’s cloud recording service can be included complimentary as part of your OnZoom event ticket registration product so that registrants can watch the event they registered for at their convenience, even if they were not present for the event. This allows registrants to view the event at their convenience, even if they were not at the event. With the registration of a ticket, you can include an added benefit such as this.

When event recordings are available as a complimentary benefit of ticket registration, the following benefits will be realized:

  • Once the event starts, the recording will automatically start as soon as the event begins. As a result, you will ensure that the recording of the event takes place, even if either you or an Alternative Host forget to start the recording of the event.
    Note: You will have to manually start the recording of an event if your event does not include access to event recordings when you register for your ticket.
  • You will be able to provide complimentary access to this recording for 7 days following the event for all registrants-those who attended as well as those who missed the event-after it has been made available to you.

Note: The Zoom web client does not allow the user to download, edit, delete, or share recordings that have been made.

As soon as the event is complete, an automatic posting of the recording will take place, so you will not have to manually upload it after the event.

Prerequisites for managing OnZoom recordings

  • Zoom desktop client
    • Windows: 5.6.3 or higher
    • macOS: 5.6.3 or higher
  • Depending on your account type, you can choose from Pro, Business, Enterprise, or Education

How to view recording options

The registrations for the event will allow the registrants to view the recording if the recording was offered with the ticket registration when the event was created and you included free viewing access with it.

How to manage recordings

Note: Hosts who start recording a session and then continue to stop and start it more than once will link the longest recorded file to the recording session when they end the session. As the recorded session will be provided to the Attendees if there are multiple recordings for the session, the longest recording will be provided to the Attendees.

View recordings

You may view your recordings by clicking on the following link:

  1. Sign in to OnZoom by entering your username and password.
  2. Click the Manage button in the top-right corner of the screen.
  3. Select the Recordings option from the navigation menu on the left side of the screen.

Filter recordings

For filtering recordings based on accessibility types, follow these steps:

  1. OnZoom can be accessed by logging into your account.
  2. Click the Manage button in the top-right corner of the screen.
  3. Click on the Recordings button in the navigation menu on the left side of the screen.
  4. The recording access icon can be found next to the filter icon.
  5. If you choose to check the box Only Me or Event Registrants, you will see a list of all attendees.
  6. Please click the OK button to complete the process.

How to watch a recording

A recording can be viewed by following these steps:

  1. Make sure that you are signed into OnZoom.
  2. Click the Manage button in the top-right corner of the screen.
  3. Select Recordings from the navigation menu on the left side of the screen.
  4. In order to watch a recording, you will need to find the recording’s event.
  5. If you click the ellipses next to the event, you will be able to play the event.

How to edit a recording

Editing a recording can be done in the following ways:

  1. Sign in to OnZoom by entering your username and password.
  2. Click the Manage button in the top-right corner of the page.
  3. Select Recordings from the navigation menu at the top of the page.
  4. In order to edit an event, you will need to find it first.
  5. Right below the event, click the ellipsis, then click the Edit button to the left of the event.
  6. It is optional to enter the new title of the recording in the Title section of the recording.
  7. There is an option for you to add a new description to your recording in the description section.
  8. To trim the recording’s duration, you can use the slider bar on the left side of the screen. Upon completing the trimming process, the remaining part of the recording (within the blue border) is saved for future use as a new recording.
    • Drag the slider bar from left to right in order to shorten (trim) the beginning of the recording by dragging it from left to right. In the event that you trim off the section (outside of the blue border) you will be deleting the section you cut off.
    • Drag the slider bar from the right to the left to trim (shorten) the end of the recording by dragging it from one side to another. In the event that you trim off the section (outside the blue borders) you will be deleting the rest of the section.
  9. Save the changes by clicking on the Save button.

How to delete a recording

Recordings can be deleted by following the steps below:

  1. Sign in to OnZoom by entering your username and password.
  2. Click the Manage button in the top-right corner of the screen.
  3. Click on Recordings in the navigation menu on the left side of the screen.
  4. If you would like to delete an event from a recording, you need to find it on the recording.
  5. On the right side of the event, you will see an ellipsis, click it, and then click Delete Recording to delete the recording.
  6. Delete the file by clicking the Delete button.

Frequently Asked Questions

It is possible to change the local recording settings when using the Zoom desktop client by clicking the Settings button when it is opened, which can be found in the Zoom desktop client when it is launched. When you are ready to begin recording, click on the Recording tab on the left side of the screen. If you click on this, you will be able to open a window that will allow you to change the recording options.
 
No matter who starts the recording, the recording will be sent to the person whose zoom link was initially set up, regardless of who begins it. When you set up the meeting (so it’s your Zoom link) you will be able to record the meeting and at the end of the meeting your recording will be displayed in your Zoom profile, regardless of who records the meeting (you or the co-host).

 

There is no permission granted by the host

During Zoom meetings, you are only able to use the Recording feature if your host has given you permission to do so. When you do not have the permission to record, the Record button does not appear on your screen. Typically, how you go about recording a session starts with you asking the host for permission to record it.

 

There is also a possibility that, at the end of the meeting, Zoom will still render the recording and send you an email, even if you did not stop recording. In this case, however, you will not be able to see the message letting you know that the recording has been rendered.
 
Additionally, all participants have the option to unmute themselves in the event they are not able to hear one another due to the host making the feature unavailable at the time of the meeting. It is not possible for the host to change the profile of another participant except he or she has consented to be unmuted in order to protect the other participant’s privacy or security.
