Bulk import and update of Zoom phone users

overview

As a Zoom account owner or administrator, if you want to assign more than 100 Zoom Phone licenses to an existing user, you can assign the licenses in bulk. When you assign a Zoom Phone license to a user, they are automatically assigned an extension number.

After assigning a license, you can also change the phone user settings and assign a direct number .

Prerequisites

Assign licenses and calling packages to existing users in bulk

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][Users and room] and then click the.
  3. Click Importat the top of the user table .
  4. Specify the following information:

Note : If you have multiple sites with site code enabled, you will not see the following two options: Sites and templates must be specified using CSV files.

    • Import destination (optional): If you have created multiple sites ,Select the target site to which the user belonged. If you select the target site, the site name specified in the CSV file will not be used. If you want to import data from multiple sites, specify the site name in the CSV file without selecting it.
    • Specify the template to assignto the user: Click the checkbox to apply the template to the updated user.
  1. Click CSV Sampleto download the sample CSV file and display the required fields.
  2. Fill in the CSV sample using spreadsheet software such as Microsoft Excel.
    Important: Make sure the CSV file meets the formatting requirements .
  3. To start the bulk process, click UploadCSV and select the completed CSV file.
    Note : If multiple fields fail, the batch process cannot be completed. You have the following options:

      • Click Detailsto see a description of the fields that were not filled in correctly.
      • (If applicable) Click Ignore the issue and upload the restto continue the bulk process. The CSV row with the error is not imported. If there are errors on all lines, this option will not be displayed.
      • If there are errors in every row in the CSV, the bulk process will not complete. After modifying the CSV file, click Reupload.
      • Click Closeto cancel the bulk import process .

Bulk update existing users

If you want to update phone user extensions, direct numbers, calling packages, and landline provisioning details, you can update existing phone users in bulk.

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][Users and room] and then click the.
  3. Click Exportat the top of the user table to export the CSV file for existing phone users.
  4. Use the exported CSV file to review your user settings and make any necessary changes. You can also remove user entries that you do not need to update and then select the option to copy settings from other users in the bulk update process below.
  5. Click Import.
  6. Click the Update User
  7. Specify the following information:

CSV requirements

Make sure your CSV file meets these requirements when importing or updating phone users:

format

  • Do not delete the first line with the field name.
  • In the Phone Numberfield, make sure the phone number is as follows (do not use spaces or dashes):
      1. Plus sign (+)
      2. country code
      3. Area code
      4. telephone number
  • Some spreadsheet software does not allow you to add a plus sign to the beginning of a cell. You can save the CSV file, open it in a text editor and add a plus sign (+). When I view the CSV file in a text editor, the phone number may or may not be quoted (both formats work fine). If you are using Microsoft Excel, you can enter a plus sign by entering a single quotation mark before the plus sign (‘+).

Blank field

If you want to remove or downgrade an item from a phone user, leave the entry in the following field blank. For more information on these fields, see the Phone Customization article .

  • Package: The package will be downgraded to “Zoom Phone Basic”.
  • Phone number: The number moves to an unassigned number.
  • Desktop Phone Fields ( Brand, Model, MAC Address, Provisioning Template): Desktop phones are moved to unassigned devices. To remove a desktop phone from a user, leave all four related fields on that desktop phone blank.

Fields that require a call package

You must specify a valid call package to use these fields. For more information on these fields, see the Phone Customization article .

  • telephone number
  • Caller ID
  • Caller ID selection

Leave these fields blank if you do not want the phone user to have a call package.

Desktop phone field

The desktop phone field allows you to specify an unassigned desktop phone or a desktop phone that has not been added to the web portal. Uploading a CSV file adds a desktop phone that has not yet been added to the web portal. The new desk phone needs to be provisioned.
