Manage company representative number and caller ID name in Zoom Phone

If you are a Zoom account owner or administrator, you can view or change the company representative number you selected during initial setup. The company representative number can be used by an outside caller to contact the telephone user (dial the company representative number and the user’s extension). It can also be used as a caller ID when a phone user makes a call.

Note : The company representative number will be assigned to the main auto reception . In other words, if you dial the company’s representative number, it will be forwarded to the main automatic reception. If there are multiple sites , the company representative number will be assigned to the main automatic reception on the main site.

Change company representative number

The company representative number can be changed during the initial setup . To view or change your company representative number, follow these steps:

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][phone number] and then click the.
  3. Click the AssignedThe company representative number is displayed at the beginning.
  4. Click the drop-down menu to change your company’s representative number. Select one of the following:
    • Select from the numbers assigned to the main automatic reception. The former company representative number remains assigned to the main auto-reception.
    • Select the number of unassigned]Click to unassigned numbers to select a number from the list of, [confirmed] and click. Select one of the following options:
      • Replace and Save: Replaces the company representative number with the selected number and keeps the previous company representative number. You can assign the number of the previous company representative number .
        Note : You must have a license for an available phone number to see this option.
      • Replace and Delete: Replaces the company representative number with the selected number and deletes the previous company representative number. The same phone number license will be used.

Reassign the phone number to the company representative number

If a direct number is assigned to a phone user, call queue, shared area phone, auto-reception, or Zoom Room, follow the steps below to assign it to the company representative number and main auto-reception .

Note : You can also reassign numbers between phone users, call queues, automatic reception, shared area phones, or Zoom Room .

  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][phone number] and then click the.
  3. Click the number you want to assign to your company’s primary number.
  4. In the assignee, click Unbind next to the phone user, room, call queue, or auto-acceptance name .
  5. Click Unbind toconfirm the operation. The number is displayed in the unassigned number list.
  6. Click the AssignedThe company representative number is displayed at the beginning.
  7. Click the drop-down menu and click Select Unassigned Number.
  8. Select a number from the list of unassigned numbersand click Confirm . Select one of the following options:
    • Replace and Save: Replaces the company representative number with the selected number and keeps the previous company representative number. You can assign the number of the previous company representative number .
      Note : You must have a license for an available phone number to see this option.
    • Replace and Delete: Replaces the company representative number with the selected number and deletes the previous company representative number. The same phone number license will be used.

Change the company representative number or the caller ID name of the site

For calls from your organization, the caller ID name is displayed. If you have multiple sites , you will need to change the caller ID name for each site. You cannot change the caller ID name for each user.

Note :

  • Caller ID notifications apply only to US and Canadian phone numbers.
  • The caller ID name is verified sothat the recipient of the call does not immediately see the new caller ID It takes about 3 weeks for the new caller ID name to be updated to the external operator.
  • Even if you have multiple sites, your organization has only one company representative number. The caller ID name on the main site applies to the company representative number.
  1. Sign in to the Zoom web portal.
  2. In the navigation menu, [Phone System management][Company Information] and then click the.
  3. Follow one of the options below, depending on whether you have multiple sites:
    • If multiple sites are disabled , click Changenext to the current caller ID name .
    • If multiple sites are enabled, click the site name, then click Changenext to the current caller ID name .
  4. Enter the new caller ID name and click Save.
    Note : Caller ID names have the following restrictions:

    • Up to 15 characters including spaces
    • All capital letters, regardless of how they are specified on the Zoom Phone
    • Special characters cannot be used
