How to set a custom gallery view order in Zoom App

The Gallery view allows you to drag and drop video thumbnails to create a custom order of videos. Until the next change is made by a participant, all other tiles will remain in place until that change is made. If there are more than one participant, the new participant will appear at the bottom-right, on the last page. If you are using the custom order, only you will see it, or if the host decides to expose it to all participants at once. If this order is released, the default order will take its place and the order will revert to the default status.

The order in which video participants appear on the screen can be saved for use in subsequent meetings of this series, if you wish to use it. It is possible to make this a recurring meeting, or you can just use it again in the future.

Prerequisites for custom gallery view order

Custom video organization:

  • Zoom desktop client
    • For Windows version 5.2.2 or higher
    • For macOS version 5.2.2 or higher
  • Zoom mobile app
    • For iOS version 5.4.or higher (only on iPads)
  • Zoom web client
  • In order to follow the host’s organization, Zoom Rooms version 5.3.0 or higher must be installed

The following steps can be taken to save the custom gallery for future use:

  • Zoom desktop client
    • For Windows version 5.8.6 or higher
    • For macOS version 5.8.6 or higher
  • Zoom mobile app
    • For iOS version 5.8.6 or higher (only on iPads)
  • Zoom web client
  • The meeting is not PMI and the host must authenticate and allow the host to save the video order as part of the meeting

Reorganizing the gallery view

  1. Drag the video of any participant to the desired position on the screen by clicking and dragging it.
  2. Continually drag the video until the desired order appears on the screen.
  3. You may also choose to enable or disable the following options as the host:
    • Follow the host’s video order (only available to the host): In order for all participants to see what the host wants, provide an explicit video order. Having this feature enabled will prevent the participant from changing the order of the task.
    • Note: Those participants utilizing the desktop client, the mobile app, or Zoom Rooms will be able to benefit from the custom order for Gallery View and Active Speaker View.
    • Release Video Order: We revert the custom order to its default state after the release.

Note: Participants who do not have the ability to upload video will be added at the bottom-right corner of the gallery page once their video has been enabled.

Saving a custom gallery view order for future use

Using the gallery view allows you to reorder videos in order to be used in later meetings once you’ve rearranged them in the gallery view. Any participants who wish to appear in that custom gallery view order in the future session can do so by editing the gallery view order and clicking reload. Videos can now be arranged in that order and new participants will appear in the bottom-right corner of the view. Adding this functionality to your meeting should be done in the context of a recurring meeting.

How to Enable Save Gallery View

Account

If you would like to turn on or off the ability to save gallery views for all users on the account:

  1. As an administrator, you will have the ability to edit the account settings when logged in to the Zoom web portal.
  2. Simply open the Account Management section from the menu and click Account Settings.
  3. Select Meetings from the drop-down list.
  4. If you click on the Save Gallery View toggle under In Meeting (Advanced), you will be able to enable or disable it.
  5. Verify whether the change has been made by clicking Enable or Disable if a verification dialog displays.
  6. The lock icon enables you to make this setting mandatory for all users in your account. To make this setting mandatory, click the lock icon and then confirm the action by clicking Lock.

Group

If you want a group of users to be able to save gallery views or not, you need the following permissions:

  1. If you’re a Zoom administrator with the capability to edit groups, please sign into the Zoom web portal.
  2. Select User Management, then select Group Management from the navigation menu.
  3. Select the appropriate group from the list and click OK.
  4. Click on the Meetings tab.
  5. You can enable or disable the Save Gallery View option under In Meeting (Advanced) by clicking the slider.
  6. If a verification dialog displays, click Enable or Disable to verify the change.
    Note: When the option is greyed out on the account level, it means it has been locked at that level and needs to be changed there.
  7. It is a user’s choice whether to make this setting mandatory for all users in the group. To do so, please click the lock icon , and then click Lock to confirm your selection.

User

In order to enable or disable your personal gallery views to be saved, follow these steps:

  1. Sign into the Zoom web portal by entering your email address and password.
  2. After that, you will find a link to the Settings section of the Zoom web portal.
  3. Click on the Meetings tab.
  4. To enable or disable the Save Gallery View option under In Meeting (Advanced), you will need to click on the toggle.
  5. Verify the change by selecting Enable or Disable from the confirmation dialog that appears after the change has been made.
    Note: The grayed out check box indicates that the option has either been locked at the account level or at the group level. In order to resolve this issue, you should contact Zoom’s support team.

For an individual meeting

This is a feature that needs to be enabled for each meeting you schedule, once it has been enabled in your settings.

  1. You can enable the following options when scheduling a meeting:
    • Ask for authentication before joining
    • and allow the host to save the video order

How to Save a custom gallery view order

  1. As the meeting host, start the meeting.
  2. Choose the order you want your meeting pictures to appear in.
  3. Click on the View button.
  4. Click on the Save Video Order button. There will be a custom gallery view pre-set for this meeting series and it will be available for meetings in the future.

Notes:

  • For each meeting series, you can only save a single custom gallery view order.
  • In this case, the existing arrangement will be replaced by the updated arrangement, which can be done by updating and saving it again.

How to Load a custom gallery view order

  1. As the host, you should initiate a meeting.
  2. Just click the View button.
  3. Click the Load Video Order button.

In gallery view, videos can now be rearranged to change their order of appearance in the gallery. Drag the video into the position you wish it to be in by clicking and holding on it, then dragging it. If you are not satisfied with the results, repeat the process for the other videos. Your view will only be changed as a result of this action.
 
It is possible to move the video image of any participant by clicking on it and dragging it to a new position in the grid. It is really important for you to make sure that all of your participants are seeing the SAME order that you have created as the host so that they are all on the same page. In order to follow the video order of the host you must click on the “View” button and then click on “Follow Host’s Video Order” in order to follow the video order of the host. Your custom video order will now be displayed to all participants as a result of this action.
 
Then, throughout the call, as each participant speaks, he or she will be reordered to the front (i.e., to the top left of the grid) and will remain there until the call ends. As Zoom’s Gallery View allows for 49 participants to be displayed per page, the most prominent speakers will be displayed most prominently on the first page of the list as a result of their placement algorithm.
 
The Zoom video chat platform announced a new set of features on Wednesday that are designed to make the platform easier for everyone to use, including people with disabilities, as well. Users will now be able to rearrange videos in Gallery View in any order in which they desire by clicking on the video, dragging it to where they wish to place it, and finally dropping it where they want it.
 
In the upper-left corner of the Zoom window, you will find a toggle switch that will allow you to switch from Active Speaker View to Gallery View. You can get the controls to appear on your screen by tapping your screen if you do not see them yet. There is a way to switch to Gallery View if there are two or more participants in the meeting at the time, but that can be done only if there are two or more participants. You will now be able to view your photos in a gallery view by clicking this button.
