Modifying recording notifications
Participants of a meeting will be notified that Zoom will record the meeting every time it takes place. Unfortunately this function cannot be disabled for any reason. For participants joining using the desktop client or mobile app, the screen will display a disclaimer confirming the participant’s consent to record. Participants who join audio sessions by phone will hear a spoken greeting as soon as they join if the recording is already in progress or at the start of the recording if it is still being recorded.
If you have a different account type, you can modify some of the recording notification settings for that account.
- There is a recording consent disclaimer enabled for all users on a Zoom client by default and it cannot be disabled or customized but voice prompts (audio notifications) may be fully disabled for basic, pro, business, and free trial accounts with fewer than 100 licenses. In order to ensure that participants who join by phone consent to the recording of their voice, you have the option to require them to press 1 to agree to being recorded. In addition, you have the option to enable multiple audio notifications, which enables participants to hear a notification each time the recording is started, paused, resumed after being paused, or stopped.
- Enterprise, API, Education, and Business accounts with 100 or more licenses allow the account owner and administrator to turn off the disclaimer for internal participants and to customize the disclaimer for recording consent. All guest participants are required to fill out a recording consent disclaimer prior to participating.
- With Zoom, you are able to automatically muffle the microphone of all participants and turn off the video when they join a meeting where a recording or live streaming is in progress. It is important to note, however, that once the participant consents to a recording, the defaults for the meeting or their specific user will return to the defaults. There is no exception to this for those participants who are already present in the meeting at the time when the recording begins.
Prerequisites for modifying recording notifications
- You must have admin privileges in order to enable and/or lock the account on your behalf or on behalf of your group
- Accounts with 100+ licenses will be able to disable the consent dialog for recording for Enterprise, API, Education, or Business accounts
Zoom’s recording consent disclaimer is enabled for all users on a Zoom client by default, in the case of Basic, Pro, Business, and Free Trial accounts that have fewer than 100 licenses, and it cannot be turned off or customized. There is an option to disable the voice prompt.
How to modify recording notifications for your entire account
Recording notifications – Zoom clients
Admins and account owners can edit the Recording notifications – Zoom clients setting in their accounts, which will modify the notifications sent to all users who have Zoom clients as meeting participants. In addition to the desktop client, Zoom mobile app, web client, Zoom rooms, and VDI, Zoom clients include mobile and desktop applications.
- As a Zoom user with the privilege to edit account settings, you should log in to the Zoom web portal as an administrator.
- Click on Account Management followed by Account Settings on the navigation panel.
- Select the Recording tab in the window that appears.
- On the Recording notifications page, scroll to the bottom of the list.
- When recording a video, you can choose to show a disclaimer to all participants, or a disclaimer to all participants and guests only.
- If you are interested in editing the recording consent disclaimer, click on Customize Disclaimer if you wish to do so.
Note:In accounts where there are less than 100 licenses, it isn’t possible to customize the recording consent disclaimer text in Basic, Pro, Business, and Free Trial accounts. - The pop-up window will allow you to choose whether to let all participants hear the recording notification, guests only, or no one at all.
- In addition, you can choose to allow and customize a disclaimer to be displayed to the host when a recording is started by ticking the checkbox next to Ask host for confirmation before recording.
- Save your changes.
- The lock icon is available if you wish to make this selection mandatory for all your account members. To confirm this selection, click Lock after you have clicked the icon.

Recording notifications – Phone users
Owners and admins of accounts can adjust the setting Recording notifications – Phone users in the account settings for every user that has meeting participants that join the meeting over the phone. Those who enter the meeting by phone will hear a single audio notification informing them the meeting has begun. However, you can also enable multiple notifications for those who enter the meeting by phone.
- As an administrator with the ability to edit account settings on the Zoom web portal, log into the portal as an admin.
- Select Account Management then click Account Settings in the navigation panel.
- On the Recording page, click the button Recording.
- You will find a link in the middle of the page that says Recording notifications – Phone users.
- If necessary, you can also make the following changes:
- It is essential that users who are only using their phones to consent to being recorded press 1 to do so. This checkbox will be selected if you want to ask phone-only users to provide consent by pressing 1 when asked. Another voice prompt will be provided if the user fails to press 1. Although users won’t press 1, a recording of the meeting will still take place if they do not press 1 after the second voice prompt has been provided.
- Phone users will receive multiple notifications. The audio notification of a recording starting or restarting will be played on the phone of the individuals who select the check box, informing the users that the meeting is being recorded.
- Click on “Save.”.
- It is optional for you to make this setting mandatory for all users in your account by clicking the lock icon. Click Lock when you are ready to make this setting mandatory for all users.
How to modify recording notifications for a specific group
Recording notifications – Zoom clients
A group of users in the account who have meeting participants who may join on Zoom clients can modify the Recording notifications – Zoom clients setting for the account’s owners and administrators. In addition to Zoom desktop, Zoom mobile, Zoom Rooms, and Zoom VDI, Zoom clients also include Zoom web, Zoom desktop, and Zoom mobile.
- It is suggested that you log into the Zoom web portal as an administrator with the privileges to change account settings.
- Click on the User Management tab in the navigation panel, followed by the Contacts and Channels . You can add contacts, create contact Groups tab.
- Please click on the appropriate group name in the list, then select the Recording tab.
- Click the button that says Recording notifications – Zoom clients and follow the instructions.

This means that if the option is grayed out, it has been locked at a system level, and any changes at this level need to be made accordingly. - Whenever a recording starts, you can either choose to show a disclaimer to all participants or only show it to guests.
- You can customize the recording consent disclaimer text by clicking Customize Disclaimer if you wish.

Accounts with less than 100 licenses can’t customize the recording consent disclaimer text for accounts with Basic, Pro, Business, and Free Trial features. - The audio recording notification can be heard by All participants, Guests only, or No one if you choose the option under Play voice prompt for.
- If you want to enable and customize a disclaimer for the host when starting a recording, check the box next to Ask host to confirm before starting the recording (Optional).
- After selecting, click the Save button.
- You can make the use of this setting mandatory for all members of a group by clicking the lock icon, after which you must confirm the setting by clicking Lock.
Recording notifications – Phone users
In the recording notifications – Phone users setting, account owners and administrators can specify a group of users that will be notified when a participant joins a meeting over the phone. You can enable multiple notifications for phone users as well as one notification for participants who join by phone by default, but you can also specify different notifications for participants who join by phone by setting their preferences.
- Admins can log into the Zoom web portal with the privilege of editing the account settings by logging into the account as an admin.
- Click on Account Management in the navigation panel and then click the Account Settings link.
- Click on Recording on the left side of the page.
- Go down the page until you reach Recording notifications – phone users.
Note : It is possible that the option is grayed out because it has been locked at the account level. That means the change must be made at the account level. - You will have to edit the following options as necessary:
- To consent to being recorded, only phone-only users must press 1 before they can be recorded. When this checkbox is selected, telephone-only users will be asked to give consent by pressing 1 on their telephones. Another voice prompt will appear if the user does not press 1. There is no need to press 1 even if users do not wish to do so after the second voice prompt has been given as the meeting will be recorded regardless.
- The phone will receive multiple notifications. As soon as the recording starts or restarts, phone users will hear audio notifications informing them that the recording is still going on. If this check box is selected, users will hear the audio notifications each time the recording starts or restarts.
- To save, click the Save button.
- Click on the lock icon to make this setting mandatory for all members of that group, then click Lock to confirm that this setting is valid for all members of the group.
How to change recording notifications for your own use
Recording notifications – Zoom clients
Depending on how your meeting participants are entering the meeting, you may be able to modify the Recording notifications – Zoom clients setting for them. There are many Zoom clients in the form of Zoom desktop, Zoom mobile, Zoom web, Zoom rooms, and Zoom desktop integration.
- Log into the Zoom web portal by entering your email and password.
- You will be taken to the Settings section of the web portal.
- You will find a tab named Recording.
- You will need to scroll down to the Recording notification section to check it.
Note : The option will say Locked by admin if the account has been locked or it will say Locked by group if the group has been locked. The Zoom administrator will need to be contacted in this case. - The disclaimer must be displayed to all participants when the recording starts, or only guests should be shown the disclaimer.
- Choose whether you want every participant to hear the audio recording notification, just guests, or no one to hear it in the Play voice prompt for section.
- You can enable and customize a disclaimer for the host when starting the recording by checking the box next to Ask the host to confirm before starting the recording (optional).
- Click on Save.
Recording notifications – Phone users
For participants who want to join your meeting over the phone, you can change the recording notifications setting in the Recording notifications – Phone users section. You can enable multiple notifications for phone users if you would like to notify them that the recording has started on their phone. By default, participants will hear one audio notification signaling that the recording has begun on their phone.
- Log in to the Zoom web portal by entering your email address and password.
- Next, click the Settings link in the menu bar.
- Then click Recording in the tab that appears.
- You will then find an option called Recording notifications – Phone users.
Note :
In the event the option indicates that it has been locked by an administrator, it has beeen locked at either the account or group level. In this case, your Zoom administrator will need to be contacted. - (Optional) Change the following settings based on your specific needs:
- Users who only have access to their phones can be required to press 1 to consent to being recorded. Users who only have access to their mobile phones will be asked to provide consent by pressing 1 if this checkbox is selected. Otherwise, they will hear another voice prompt asking them to provide consent. After the second voice prompt is provided, users are still required to select 1 to record the meeting, even if they do not press the button.
- Phone users will receive multiple notifications. As soon as this check box is selected, the phone users who are utilizing the recording will hear audio notifications every time the recording starts or restarts, which informs them that the recording is in progress.
- To save the changes, click the Save button.
