Limitations of Breakout Rooms
Participants can be assigned to breakout rooms by default only by the host or co-host. Participants can be allowed to choose their own rooms when launching breakout rooms in a meeting, but this must be done at the beginning of the meeting.

Upon clicking Open All Rooms, participants can be assigned to breakout rooms by either the host or any co-hosts, but only the first set of assignments submitted by either of them will be accepted.
A Zoom meeting can be joined by a Zoom Mobile App, or by a device connected to an H.323/SIP network; however, users can’t participate in or manage breakout rooms.
In the case that the meeting is recorded using the cloud, it will only record the main meeting and none of the breakout sessions will be recorded, regardless of where the host of the meeting is located. Breakout rooms can only be recorded locally at the moment. Recording locally by a single participant must be allowed by the host and will only record the room where the participant who is recording is located. Permission can be given to multiple participants to record locally.
The number of breakout rooms you can create is up to 50. A breakout room can hold up to 100 participants depending on the size of the meeting, the number of breakout rooms created, and if participants are assigned at the beginning of the meeting or during the meeting.
There are only a limited number of breakout rooms created during meetings that are included in these figures. Depending on the size of the conference, you can pre-assign up to 50 breakout rooms and up to 200 participants.

*Meetings of this size require the addition of a Large Meeting add-on. In the absence of an add-on for Large Meetings, you are limited to the number of participants in your meeting based on the capacity of the meeting.
Note: Depending on the quantity of breakout rooms you have in your account, Zoom can allow you to have up to 100 breakout rooms, each one with a capacity of 1000 (based on the individual account features). For this to work, ALL participants will need to be on Zoom client version 5.2 or higher – anyone joining a meeting under your account who does not have Zoom client version 5.2 or higher will have to update before joining the meeting – it is suggested to join via Zoom’s web interface, however. It will be necessary for your IT Department to assist your users to update the client if they do not have administrative access to their computers. The pre-assignment limits have also been raised from 100 rooms to 1000 participants and this too will affect the pre-assignment limits. Please contact Zoom Support if you would like this feature enabled for your account.

How to create breakout rooms
If you choose to schedule the meeting at the beginning rather than managing the participants over the course of the meeting, you can assign them to breakout rooms when you schedule the meeting.
- You can start a meeting instantly or schedule it in advance.
- Just click on the Breakout Rooms tab.
- Please select the number of rooms you will need for your meeting and how you want them to be assigned to your participants:
- Assign automatically: Zoom will split your participants up equally between the rooms according to the number of participants you select.

- Include co-host(s) to breakout rooms: The automatic assignment of breakout rooms is disabled by default, but any co-host(s) can be added to the list.
- Note: You will need version 5.10.0 or higher to be able to use this feature. Co-hosts will automatically be assigned to breakout rooms when a host is running a version below 5.10.0.
- Assign manually: You can choose which participants you want in each breakout room.
- Let participants choose a room: Individuals are free to choose their own breakout rooms and enter them.
- Load pre-assigned rooms: Select rooms that have already been assigned or that have been saved previously.
- Click on the Create button.
- Once the rooms have been created, they will not automatically start. To make sure that they are ready to start to use before you start them, please see the instructions below.
Options for breakout rooms
- When you create a breakout room, you will have a number of options available, including the option to display additional breakout rooms. To access this feature, click Options from the Windows menu (on Windows) or the Gear icon from the Mac menu (on macOS).
- You can then select which options you wish to be available in your breakout rooms.
- Allow participants to choose room: Once rooms have been launched, participants can choose and enter rooms on their own.
- Allow participants to return to the main session at any time: It should be noted that this option will enable the participants to go back to their meeting controls and return to the main session if checked. Those that have this disabled will have to wait in breakout rooms until the co-host or host ends the meeting.
- Automatically move all assigned participants into breakout rooms: When this option is selected, all participants will be automatically moved into the breakout rooms. To provide access to the breakout room, the participants will need to click the Join button in order to gain access to it.
- Auto close breakout rooms after () minutes:
- The breakout room will end automatically after the specified time is reached if this option is checked.
- Notify me when the time is up: The host and co-host of the breakout room will be notified when the session is almost over if this option is checked.
- Set Countdown timer: The software contains an instruction that when it is checked, tells participants how long they have left until they are returned to the main room when the option is turned on.
- Click the Open All Rooms button to start the breakout rooms or follow the steps below to assign participants to breakout rooms.
Assigning participants to rooms
In order to assign participants to your rooms, click the Assign button next to the room that has the participants you wish to assign as well as selecting the participants you want to assign. You must do this for every room.
The assignment of the participant (either manually or automatically) will be shown when the Assign button is displayed instead of the number of participants.
Preparing breakout rooms
You can rearrange the participants after they have been assigned to rooms, either manually or automatically. There will be no breakout sessions for participants who are not assigned to them when the breakout rooms are made available. You can access these options by hovering over the participant or room:
- Move to (participant): You will need to select which room you would like the participant to be moved to.
- Exchange (participant): The selected participant will need to be exchanged with the selected participant coming from another room.
- Delete Room: Select the room to be deleted.
- Recreate:
- Recreate all Rooms: In this function the host/co-host is given the ability to delete existing breakout rooms and create new ones.
- Recover to pre-assigned rooms: Ensure that the pre-assigned arrangement is recreated for the breakout rooms. Only the pre-assign breakout room feature is available when using the pre-assign option.
- Add a Room: Select the new breakout room you would like to create.
- Open All Rooms: The rooms will be opened. Once the prompt to join the breakout room has been confirmed by all members of the group, all participants will be moved to their respective rooms. The participants may open the list of rooms and select which rooms they wish to join if they are allowed to choose their own rooms. As long as the host, or co-host who initiated the breakouts, as well as the original host are left in the main meeting until one of the breakout rooms is manually joined, they will remain in the main meeting.
Managing breakout rooms in progress
Upon the start of the Breakout Sessions, the participants assigned to the breakout rooms will be asked to join the Breakout Sessions. Until you manually join a breakout session, the person whose idea sparked the breakouts, or even a co-host for the breakout sessions, will remain in the main meeting. It will be mentioned next to the name of the participant (not joined) if they are yet to join the session. To open the window of the breakout rooms, click on the following options:
- Join: Come to the breakout room.
- Leave: Return to the main meeting after leaving the breakout room (only shown when you are in a breakout room).
- Close All Rooms: It automatically opens all rooms after a countdown of 60 seconds, which is shown to the host and co-hosts throughout the meeting, but returns all participants back to the main meeting once this time is over.
For more details regarding a particular breakout room, hover your cursor over the name and click the ellipsis button in order to see more options:
For you to be able to adjust Breakout Rooms while they are open, Zoom’s online account must have this feature enabled for your account, this feature must be turned on in the settings for your Breakout Rooms, and all participants must be using version 5.9.3 or higher.
- Add Participants: If you have already set up a Breakout Room, you can add more participants. If you click On Assign, you will be able to choose the extra participants.
- Rename:Give the meeting room a new name. All you have to do is type in the new name and click Rename.
- Delete Room: If the Breakout Room already exists, delete it now.
- Note: If a breakout room has already been opened, or if the breakout room has already been opened, but there are no participants in the room, the option to delete the room is not available.
Saving current breakout room assignments for future use
There is a way to store these assignment records, either manually or automatically, that you will be able to use for a future meeting that is part of the series (must be a recurring meeting). For each user, you are able to save up to ten different assignments.
- In order to save breakout rooms that have been assigned, but are not currently available, click Save Breakout Rooms after the break room has been assigned.
- You can give this group of assignments a name.
- Click the Save button.
Responding to requests for help
By clicking the Ask for Help link, participants can ask the meeting host to attend their meeting if they are in a breakout room.
It will then prompt you to join the room where the request originated, if you do not already have an account there. You can join the room by clicking the Join Breakout Room link.
Broadcasting a message to all breakout rooms
There are ways to make the information shared with all participants available through broadcasts to all breakout rooms, which the host or co-hosts can do. A breakout session can be used to carry out this function as well as the main session.
Breakout Room settings must allow you to enable this feature.
- In the control panel of the meeting, click on Breakout Rooms.
- Enter your message, click Broadcast message to all, and then click Broadcast message.
- Now that you have entered your message, it will appear for everyone in the breakout rooms.
Sharing your screen to all breakout rooms
A breakout room can be opened directly from the main session so that the host or co-host can share their screen in all breakout rooms after the breakout room has been opened. It has the advantage of enabling the presenter to share visual information to all breakout rooms at the same time and guide them on the next steps or tasks they are to complete.
- In the meeting controls, click the Share Screen button.
- In the Share window, along the bottom, you will find an option to share with breakout rooms.
- There are many options you can choose from, including an entire screen, a specific open program, or any combination thereof.
- In order to include audio with the shared content, you will need to click the Share Sound option as well.
Note: - If you wish to share audio and content between breakout rooms, you will need version 5.10.0 or higher.
- Click on the Share button.
This will enable all breakout rooms to hear the selected content. During the period in which the co-host will be sharing his/her screen with the host, any active screens in any breakout room will be interrupted. Before the viewer is able to view the shared content of the host, an annotation or whiteboard is saved.
Under the advanced sharing tab, you have the option to reveal the video option, which will allow you to share playback of any local file, including the audio. Version 5.10.0 or later is also required for this feature.
Viewing activity statuses of participants in breakout rooms
In the break-out rooms that are open at a time, the hosts and cohosts can see the level of activity in each of the breakout rooms so you can judge how active the participants are. The Breakout Rooms panel allows you to view a list of all the participants who are located in each room. It also displays icons that display whether audio or video is on, whether they are sharing their screens, and whether there are any active reactions. Instructors who are looking to engage students in breakout sessions in classrooms can use this feature to their advantage.
- It is important that you enable this option in the breakout room settings in order for it to work.
- If the feature is enabled, you will be notified before participants arrive in the breakout room that the host and co-hosts will have access to their activity status.
- Activity statuses can only be seen by hosts and participants that have client versions 5.10.3 or higher.
Linux
How to create Breakout Rooms
- If you want to arrange a meeting, you can do so either instantly or by setting up a meeting in advance.
- You can do so by clicking Meeting Rooms.
- You can enter the number of rooms you wish to create for your meeting, as well as how the attendees should be assigned to these rooms:
- Assign automatically: Zoom will automatically divide all of your participants into the different rooms evenly.

- Include co-host(s) to breakout rooms: By default, the automatic assignment of breakout rooms is disabled, but you can include any co-hosts who wish to do so.
- Note: A version of 5.10.0 or higher is required for this feature. A co-host will automatically be assigned to breakout rooms if the host is using a version below 5.10.0.
- Assign manually: Choose which participants you wish to be placed in each breakout room.
- Let participants choose room: They can choose their own breakout rooms and enter them.
- Then click on Create.
Once you have created your breakout rooms, you won’t be able to start them up automatically. Instead, you will be able to manage the rooms before they are started.
Options for breakout rooms
- If you clicked on the gear icon after creating the breakout rooms, you will be able to see additional options available to you.
- If you have selected any of the options that you would like to use for your breakout rooms, you can proceed.
- Allow participants to choose room: Once the rooms are launched, participants will be able to select in and out of the rooms as they please.
- Allow participants to return to the main session at any time: When the participant’s meeting controls are set to have this option checked, they can return to the main session by simply clicking on it. The co-host or host must wait for the breakout rooms to be ended when this option is disabled.
- Automatically move all assigned participants into breakout rooms: Upon checking this box, all assigned participants will be automatically moved into breakout rooms. The participants will need to click Join if this option is left unchecked, otherwise they will not be added to the breakout room.
- Auto close breakout rooms after () minutes: When the next breakout room time is set, this option will automatically end the breakout rooms when it has reached the specified time.

- Notify me when the time is up: The host and co-hosts will receive an e-mail when the breakout room time has expired if this option is selected.
- Set Countdown timer: It is recommended to check this box. The participants will be given an indication of how much time has passed before returning to the main room if this option is selected.
- Please follow the steps below for assigning participants to rooms; if you would like to start the breakout rooms immediately, then click on Open All Rooms.
How to assign participants to rooms
Assigning participants to your rooms can be done by selecting Assign next to the room that you want to assign participants to, and then selecting the participants that you wish to assign to that room. You will need to do this for each room.
The assignment of the participant (either manually or automatically) will be shown when the Assign button is displayed instead of the number of participants.
How to prepare breakout rooms
You can rearrange the participants after they have been assigned to rooms, either manually or automatically. There will be no breakout sessions for participants who are not assigned to them when the breakout rooms are made available. You can access these options by hovering over the participant or room:
- Move to (participant): The participant should be moved to a specific room.
- Exchange (participant): The selected participant needs to be swapped with a participant in a different room.
- Delete Room: Select a room and delete it.
- Recreate: The host/co-host can create a new breakout room and delete it from the existing list of breakout rooms.
- Add a Room: A new breakout room can be added.
- Open All Rooms: All the rooms will be opened. Upon confirmation of the prompt to join the breakout room, all assigned participants will be directed to their respective rooms. There can be a list of rooms available and the participants can pick which to join if the decision allows them to choose their own room. This means that the host who launched the breakouts and the original host will be left in the main meeting until one or more of the breakout rooms is joined manually by the host.
How to manage breakout rooms in progress
Upon the start of the Breakout Sessions, the participants assigned to the breakout rooms will be asked to join the Breakout Sessions. Hosts, or participants that initiated the breakout sessions, as well as the original host will remain in the main meeting until manually joining a breakout session. There will be a notation next to the participant’s name if they have not joined the session yet; this will be noted by the notation (not joined). To switch between breakout rooms, click on one of these options:
- Join: Come to the breakout room.
- Leave: Return to the main meeting after leaving the breakout room (only shown when you are in a breakout room).
- Close All Rooms: A 60 second countdown shows to all participants, the host, co-host, and hosts how many seconds remain in the countdown, and, after the 60 seconds are up, it returns all participants to the main meeting.
Please position your mouse over the name of the breakout room and click on the ellipsis symbol to access more options for that particular breakout room:
- Add Participants: If you have already set up a Breakout Room, you can add more participants. If you click On Assign, you will be able to choose the extra participants.
- Rename: Give the meeting room a new name. All you have to do is type in the new name and click Rename.
- Delete Room: Delete the Breakout Room that is already in progress.
- Note: When deleting a breakout room, you will only have the option to do so if the breakout room has not been opened or, if a breakout room has already been opened, no one is currently seated in the room.
How to respond to requests for help
By clicking Ask for Help , participants in breakout rooms can ask that the host of the meeting join their meeting.
After you join the room where the request originated, you will be prompted to join the room from which the request came. To join the room, you simply click on Join Breakout Room.
How to broadcast a message to all breakout rooms
If the host or co-hosts wish to broadcast an announcement to all breakout rooms, they can use this method to share information with the participants.
Breakout Room settings must allow you to enable this feature.
- Within the meeting controls, click on Breakout Rooms.
- Then you will be able to select Broadcast message to all and enter your message.
- All participants in breakout rooms will now see the message you have written.
A breakout room can be opened directly from the main session so that the host or co-host can share their screen in all breakout rooms after the breakout room has been opened. It has the advantage of enabling the presenter to share visual information to all breakout rooms at the same time and guide them on the next steps or tasks they are to complete.
- In the meeting controls, click the Share Screen button.
- On the bottom of the share window, you’ll see an option to share to breakout rooms.
- The type of content you share can range from an entire screen to a specific program, or anything in between.
- Simply click Share. You will be able to share any content you select with all breakout rooms. The host’s/co-host’s share screen will be interrupted if there are any active shares in any breakout rooms. There are options to save annotations or whiteboards before the shared content of the host is viewed.
Viewing activity statuses of participants in breakout rooms
In the break-out rooms that are open at a time, the hosts and cohosts can see the level of activity in each of the breakout rooms so you can judge how active the participants are. You can view which users are currently in breakout rooms by checking the Breakout Rooms component on the toolbar, along with icons that designate whether their audio or video is on, whether they are sharing their screen, and whether they have any nonverbal responses or active reactions. The breakout room feature can be of particular interest to instructors who are interested in getting their students involved in the group discussions.
- To be able to use this option, the breakout room setting options must be enabled.
- In the event that the participant activity status is enabled, they will be notified before entering a breakout room that the host and co-hosts will have access to their status.
- For activity statuses to appear, participants and hosts are required to use client versions 5.10.3 and higher.

Using Zoom’s web desktop client, you need to follow the steps in this section.
How to create Breakout Rooms
Note: As well as pre-assigning breakout rooms when you schedule your meeting, you can also manage participants during your meeting by setting up the rooms in advance.
- Set up a meeting instantaneously or schedule one to happen later.
- You can do this by clicking on the Breakout Rooms tab.
- It is important to decide how many rooms you want to create, and how your participants should be assigned to them, what is described below:
- Assign automatically: You are able to have Zoom divide your participants equally among each room.

- Include co-host(s) to breakout rooms: Defaulting to disabling the automatic assignment of breakout rooms, you do have the ability to include any co-host(s) in this assignment process.
- Assign manually: Select which participants you want to go into the selected rooms.
- Let participants choose room: The participants will be able to choose and enter rooms independently.
- Click the Create button.
You will create your rooms, but they will not start automatically. The instructions below will help you manage your rooms before they start, and how to start them afterwards when you are ready.
Options for breakout rooms
- To view additional breakout room options, you need to click on Options after creating the breakout room.
- Here are a few options for your breakout rooms that you may want to use:
- Move all participants into Breakout Rooms automatically:
- When you check this box, all participants will be automatically seated in breakout rooms. When this option is unchecked, then in order to join the breakout room, the participants must click Join to be added.
- Allow participants to return to the main session at any time:
- When this option is selected, the participants will be able to return to their meeting controls and move back to the main session when they want. This should be disabled when the breakout rooms are to end, so they will have to wait for the host or co-host to do so.
- Breakout rooms close automatically after x minutes: After a certain amount of time has passed, the breakout rooms will automatically end if this option has been enabled.

- Notify me when the time is up: As soon as this option is checked, a notification will be sent to the host that the breakout room time has expired.
- Countdown after closing breakout rooms: In the event this option is selected, a countdown will appear on the screen to let the participants know how much time they have left until they are returned to the main room.
- To assign participants to breakout rooms, please follow the steps below. Alternatively, click Open All Rooms to begin the breakout sessions.
How to assign participants to rooms
Adding participants to your rooms is as simple as selecting Assign next to the room you wish to assign participants to and then selecting the people you want to assign to the room. The process can be repeated for each room.
The assignment of the participant (either manually or automatically) will be shown when the Assign button is displayed instead of the number of participants.
How to prepare breakout rooms

- Recreate: Allows the host to initiate the creation of new breakout rooms after the existing ones have been deleted.
- Add Room: This feature allows you to create a new breakout room.
